Music Night Volunteer Duties

Ticketing Coordinator - 5:30-7pm
  • Ideally same person for both Thursday and Friday night
  • Must feel comfortable navigating on Yapsody
  • Coordinate ticket scanners and oversee training on use of app
  • Troubleshoot problems with ticket purchases
  • Purchase a ticket if you want to see the show!
Ticket Sales - 5:45 to 7pm
  • Must arrive at the designated time for quick instruction on selling tickets
  • Count float prior to sales
  • Sell tickets 
  • Return tickets and cashbox to Music Night Volunteer Coordinator after sales complete for the night
  • Purchase a ticket if you want to see the show!
Ticket Scanning – 5:45 to 7pm
  • REQUIRES An iphone or Android phone
  • Must arrive at designated time for quick instruction on scanning tickets and ensure app is ready and working
  • Prior to concert night you will get an email asking you to load a Yapsody app and to create a Yapsody account
  • Scan tickets of audience members as they enter
  • Purchase a ticket if you want to see the show!
Electronic Cashier – 5:45 to 7:15 pre-show, intermission
  • REQUIRES an iphone or Android phone ** (see Devices Compatible with Square Reader for Contactless and Chip & PIN Cards to see if your phone is compatible.)
  • Prior to concert night you will get an email asking you to load the square card reader app on your phone.
  • Must arrive at designated time for quick instruction on square card reader technology and ensure app is ready and working
  • Use the square card reader for electronic payments
    • Before the performance for tickets
    • During intermission for roses and fans
    • After the performance for auction items
  • ​Purchase a ticket if you want to see the show!
Photographer - 6:15 to end of show
  • This position requires volunteers to have a proper digital camera; please do not use an iPhone or iPad for taking pictures as the low light will produce poor quality photos
  • Candid shots of students, audience members and volunteers during pre-show and intermission, as well as one photos of each ensembles performing (no flash photography please)
  • Be able to share the photos via a dropbox account or google drive
  • No ticket purchase required as you’ll be hopping seats, but you’ll see the show! 






Videographer - 6:00 to end of show
  • Acquire video camera and tripod from music teacher and set up in auditorium
  • Video each act
  • Return video camera and tripod after the show is over
  • No ticket purchase required as you have a specific seat assigned!




Front of House – 6:00 to end of show
  • Adult Volunteers Only: Please Bring Your Own Flashlight
  • Ensure Reserved Seating is maintained for those requiring assistance, or special guests as needed (Middle sections, first row of the second level) 
  • Make sure the auditorium is clean and set up prior to doors open. Open doors by 6:30 – check with Mr. Sinkus to ensure they are ready
  • Help adult ushers ensure no food or drink is brought into the auditorium (especially at intermission)
  • Control latecomer entry to between performances, and ensure minimal disturbance
  • Cover both doors to the auditorium to control access for performers and guests 
  • Work with medical personnel if/when required – know where they are, and coordinate with them as appropriate 
  • No ticket purchase required as we will make sure you have a seat near the doors!
Ushers – 6:00 to 7:30 and during intermission
  • Adult Volunteers Only: Please Bring Your Own Flashlight
  • Arrive by 6:00 to familiarize yourself with numbered seating plan
  • Between 6:30-7:15 will assist audience members to locate seats and ensure that no food or drink is brought into the auditorium
  • During intermission will ensure that no food or beverage containers are brought back into the auditorium throughout intermission
  • No ticket purchase required as we will make sure you have a seat near the doors!
First Aider - 5:00 to end of show
  • Provide basic first aid to audience members if require
  • No ticket purchase required as we will make sure you have a specific seat so we know where to find you!
Bake Table Coordinator - 5:00 to end of show
  • Help coordinate Bake Table volunteers and student servers
  • Oversee clean up of table
  • No ticket purchase required - can coordinate seeing specific acts as needed

Bake Table Sales – 5:45 to 7:00, and during intermission
  • Set up bake table - Arrange trays, lay out napkins, fruit & veg into paper cups
  • Manage goodies during intermission, refilling/rearranging platters as required 
  • Prep trays with donation cups for students to circulate with trays through the crowd during intermission
  • Help with cleanup as needed
  • Purchase a ticket if you want to see the show!


Drink Sales Table – 6:15 to 7:00, and during intermission
  • Count float prior to sales
  • Put water bottles and iced tea into coolers
  • Sell drinks before performance and during intermission
  • Help with cleanup as needed
  • Return cashbox to Music Night Volunteer Coordinator after sales complete before the performance and after intermission
  • Purchase a ticket if you want to see the show!

Cash Counter - End of intermission to end of show 
  • Help count cash and fill in cash counting sheets
  • Ensure cashboxes have correct float (Thursday evening only)
  • Return cash with cash counting sheets as well as cashboxes to Music Night Coordinator
  • No ticket purchase required  as you will only catch the first half of the show!
Clean Up Crew - End of show
  • Help clean up the auditorium after the show - take down signs, pick up garbage, etc.
  • Help bring supplies/bins to back storage room
  • Help with table and chair clean up in front hall
  • Ensure front hall is clean of garbage
  • Purchase a ticket if you want to see the show!
Raffle Sales Table (Fall Only) -  6:15 to 7:00, and during intermission
  • Selling Raffle Tickets at the Raffle Ticket Table
  • Circulating through crowd selling Raffle tickets
  • Purchase a ticket if you want to see the show!
Fan Sales Table (Spring Only) – 6:15 to 7:00, and during intermission
  • Count Float prior to sales
  • Selling fans at the designated table
  • Return cash box to Music Night Coordinator after sales complete before the performance and after intermission
  • Purchase a ticket if you want to see the show!
Rose Sales Table (Spring Only) – 6:15 to 7:00, and during intermission
  • Count Float prior to sales
  • Selling roses at the designated table
  • Return cash box to Music Night Coordinator after sales complete before the performance and after intermission
  • Purchase a ticket if you want to see the show!


Silent Auction (Spring Only)  – 5:30 to 7:00, and during intermission
  • Set up of auction items
  • Manage auction items before show and during intermission
  • Testing winners during the second half of the show
  • Helo collect funds from winners after the show
  • Help with cleanup as needed
  • No ticket purchase required - can coordinate seeing specific acts as needed
